Cold email still works in 2026—but only if your emails actually land in the inbox. Most outreach fails before the prospect even reads your message: poor domain setup, bad lists, spammy copy, and unsafe sending habits.
This guide gives you a simple, repeatable deliverability checklist you can run in 20 minutes before launching any campaign.
1) Use a Dedicated Sending Domain (Not Your Main Domain)
Never run cold outreach from your main website domain. Create a dedicated sending domain (or subdomain) to protect your brand.
- Main domain: prospelio.com (your brand + SEO)
- Sending domain example: prospelio-mail.com (for outreach)
2) Configure SPF, DKIM, and DMARC Correctly
If SPF/DKIM/DMARC are missing or broken, your emails get flagged as suspicious by Gmail, Outlook, and corporate filters.
Minimum requirement:
- ✅ SPF record
- ✅ DKIM enabled (for your mailbox provider)
- ✅ DMARC policy (start with “none”, then move to “quarantine” later)
3) Verify Every Email Address Before Sending
High bounce rates destroy deliverability fast. Verification is not optional.
Tip: If you send to 1,000 leads, even a 3–5% bounce rate can cause major inbox placement issues.
4) Warm Up the Mailbox (But Don’t Overdo It)
A new mailbox has no reputation. Warmup helps build trust, but aggressive warmup can look unnatural. Keep it reasonable.
5) Start With Safe Sending Volume
Most people get flagged because they send too much, too fast.
- Day 1–3: 10–20 emails/day
- Day 4–7: 20–40 emails/day
- Week 2+: 40–80 emails/day (depending on results)
Inbox safety beats speed. You can scale later.
6) Keep Your Copy Human (Spam Words Kill Deliverability)
Spam filters detect patterns: overly promotional words, weird formatting, excessive links, and “too perfect” AI text.
Avoid:
- 🚫 “Buy now”, “limited offer”, “guaranteed results”
- 🚫 ALL CAPS
- 🚫 too many links
- 🚫 heavy HTML formatting
Instead, write short, natural messages.
7) Use a Proper Sequencing Tool (Not Manual Sending)
A sequencing tool helps you control pacing, follow-ups, and sending windows. It also keeps your campaigns organized and measurable.
8) Track Replies and Stop Sending When Prospects Respond
If your system keeps sending follow-ups to people who replied, you will generate complaints and spam reports.
Make sure your outreach tool automatically stops sequences on reply.
